Qualifications: The person in this position should have the following credentials:

Masters Degree in Library Science

Library automation systems (circulation & cataloging modules) experience required (Gateway Software
Corp. preferred)

Cataloging & MARC record experience

School librarian experience - Knowledge of TLC preferred

Computer course-work preferred (AS/400 preferred)

Ability to interface and communicate effectively with all stakeholders

Ability to provide training on technology hardware and software

JOB DESCRIPTION

Job Title: Library Systems Administrator

Major Functions and Responsibilities: The person in this position is responsible for supporting the
district’s mission by assisting the Administrator of Library Information Services through effective leadership and
management to: 1) serve as systems administrator for the library automation and networking in all school
library media centers; 2) serve as a liaison between school districts, companies, vendors, organizations,
and district personnel; 3) train and serve as a consultant to library media specialists on the operation of
the automated library system and other electronic access applications; and 4) keep current on hardware
and software changes as they apply to the library technology.

Examples of Key Duties: The duties of this position include but or not limited to the following.
The Library Systems Administrator will:

1.Handle MARC errors with vendors
2.Maintain the Library Management System and data integrity
3.Support librarians use of the program with answers, actions, and research
4.Provide Librarians ongoing training
5.Work with the vendor (Gateway) to upgrade system to meet librarians needs
6.Maintain the integrity of the database by policy, procedure, monitoring, and correcting
7.Export MARC records for Accelerated Reader Bookguide software support
8.Export MARC records for TLC state initiative support
9.Create and implement surveys and all types of data collection
10.Represent Spring Branch ISD at state, regional, and national conferences, meetings and
conventions–staying current with all standards.
11.Address policy, procedure, and budget issues
12.Install upgrades and clean records
13.Troubleshoot questions from librarians
14.Setting up conversion tables for every school for every vendor that they plan to load vendor records
from
15.Assist in writing bid specifications so that vendors and the data interface properly.
16.Annually "Role Forward" in July–a procedure that prepares the data for the next school year
17.Annual upgrades (at adm. bldg., weekend) as software improves
18.Annually strip and reload all patron barcodes for secondary (clean-up). This allows the system to
take advantage of the photo ID system presently being used at secondary campuses.

Our data is the best (2nd best behind Dallas) in the state. Without LTS data integrity will suffer. Our

PRIMARY PURPOSE: Assume responsibility for the operation and use of district library automation
systems. Provide training on technology hardware and software as applicable to the library automation
systems, as well as expanding technological developments.

Purpose for the Library System Administrator is to manage the powerful and sophisticated Library
Management Software so that students, staff, and community members may easily find library resources
at point of need.

Library System Administrator should have skills in:

1.School librarian — WHY — Circulation and cataloging decisions need to be made in the best interest
of the student. For example, configuring the system for overdue printing, the school librarian
understands how schools handle and distribute overdue lists versus how a public or university
might handle overdues. HOW — Having worked as a school librarian.
2.Certified librarian — WHY — One major role of the Library System Administrator is to manage the
Library Management Software in such a way as to maintain or improve the data integrity. This is
necessary in order for the software to fulfill its function of assisting patrons in finding information.
Data integrity is also important when sharing the data with the legislators’ highly favored TLC
project statewide. The data is bibliographic information organized in a specific format called MARC.
Understanding the intricacies of translating bibliographic data into cataloging and then into MARC
are specific library skills. HOW — Have a state-approved endorsement or certification in Library
Science.
3.Gateway Library Management Software — WHY — The Gateway Library Management Software is
the software that the Library System Administrator will be managing. HOW — Experience and/or
training on the Gateway system.
4.AS/400 Hardware — WHY — The AS/400 is the hardware on which the Gateway Library
Management operates. The more familiar with the AS/400 the Library System Administrator is, the
easier it will be to troubleshoot and determine if the problem is hardware, software or user. HOW —
Experience and/or training on the AS/400.
