Clearing Students Who Have Left Your School

Back ] Up ] Next ]

1. Go to LM750 and type in "ST" for student in the box next to "Patron type".
2. Next you will enter the beginning and ending dates. These are important because they determine whether or not you get past overdue or current ones. I recommend that you use July 31 and about 5 years past as the beginning date, ex. 073199, for July 31, 1999. For the ending date you will need to enter July 31 of the past summer, ex. 073104 for July 31, 2004 this would work for the 2004-05 school year. What you are trying to do here is get overdues from past years WITHOUT the current overdues. After entering the dates be sure that you check the box next to "Print lost charge" so that the book price is printed on the overdue list.
3. Under "Report type" you will click on the box next to "Overdues by Library" and make sure that your school number is in the next two boxes.
4. Finally you will click on the radio button "Report listing" under "Form type" so that you get a list of students who owe you books. Click on the "Print" icon to print the report.
After you have the list you can go down through it and find the students who have gone to other schools by checking the grade level on the right side of the page. To forgive a student you will need to use the directions from the "Instructions for using Accounts Receivable" page that are part of the JWALK instruction pages. Remember we as a district have chosen to use Oct. 31 as the cut off date, so if the new school has been unable to get the book or the money by this time THEN you will need to forgive the student so that the book doesn't keep popping up on their record.
