Instructions for Adding Holdings in JWALK

**** When you are adding holdings you can choose to do it in either LM320 or LM321. The differences between the two are that LM321 is used primarily for quickly adding in books that you don't need to make changes to for the holdings information. If however, you want to specify the vendor, change the call number, or price you are better off adding the material in LM320. It will take a little longer to use LM320, but you have more options than you do in LM321. I recommend that you use LM320 for adding materials that you think are in the system and you want to specify information like vendor, price, or call #.

Adding holdings in LM320

1. Go to LM320, and type or scan in the new barcode and click on "Add",  the pop-up screen will ask if you are adding a single barcode, a group, or a range, you will usually click on "a single barcode". The "adding a group of barcodes" option is if you are adding several copies of the same book, i.e. 6 copies of Harry Potter and the Order of the Phoenix, and the "adding a range" option is for adding a group of numerically sequential barcodes for one title, like a set of encyclopedias. 
2. Once you click on the right option you will go to the add screen. Here you will click on the binoculars next to the control # box and click on the "bibliographic titles" option. On the next screen you will type in the title of the book or material you are adding, when the title shows up you can double click on it to select or click on the magnifying glass to "view" the record to see if it is a correct match for the material you want to add. Once you have the right record, either by double clicking or choosing the "select" option you will go back to the add screen and the control # and title will show up in the correct spaces. 
3. Next you will click on the box marked "vendor" and either type in the correct vendor number or click on the binoculars to search for the vendor by name. Once the vendor is added you will go to the price box and type in the correct price for your material. You can then change the fund code if you need to, you do this also by using the arrow next to the box to find the correct one. Lastly you will need to put in the "system item group" and the "library item group", to get lists of these you can click on the binoculars next to the box and double click to select the correct one. 
4. Once all of the information is correct you will press enter twice or click on "OK" twice and the record is added and you will go back to the LM320 screen.

Adding holdings in LM321

1. Go to LM321. The action automatically defaults to Add, so the cursor automatically goes to title search. Type in the title and press enter and a pop-up title list will appear. 
2. When the title list appears and you find a possible match for your material you can single click on the title and chose either view, to see a brief record, or select if you know it is the correct version. Once you click on select you will go back to the previous screen and now your cursor is on the barcode box, here you will scan or type in the barcode and press enter. 
3. You will now get a pop-up that asks you to specify the fund, system, and library item groups. When this information is correct you click "ok" and the material is added.  If you want to make changes after you add the material you can scan or type the barcode in and click on the "change" button. 
4. At this point you can continue adding materials, but one thing you MUST REMEMBER is:

***** If you don't click on the "Refresh" button between materials everything you add will be listed under the system/library item group you entered for the first record, i.e. if the first book you entered is an Easy book all of the other you add will be listed under "E" unless you "Refresh" the screen ******
